Top 10 Tips for Choosing a Company to email your Press Release to the Editors
 

 

(1) Choose a firm that specializes in computer products.

 

To be effective, your Public Relations representatives have to know both the computer industry and the computer marketplace.

They have to be able to tailor your distribution list by platform (Windows, UNIX, OS/2, AS/400, Macintosh).

They have to be able to include all of the important consumer, trade, and dealer/VAR magazines, as well as editors who write computer columns for daily newspapers.

If they don't specialize in promoting computer products, it's unlikely that they track multiple editors at key computer publications, or that they've taken the time to develop a robust international list of computer editors.

For more than 17 years, DP Directory has been working exclusively with software developers and computer hardware manufacturers.

 

(2) Select a firm that sends test emails before they send the "real" press releases.

A press release that looks great in Word or WordPerfect can look awful when it is emailed. Features such as multiple columns, centering, and right-justification simply don't work with a lot of the editors' email readers.

Many typographical characters get turned to scrambled eggs in older email readers.

Be sure you have the opportunity to look at and approve the actual version of the press release that the editors will see.

(3) Ensure that your press releases are sent individually.

Never send bulk mail to the editors.

Each press release should be addressed to an individually-named editor, and never to a cc: list, a blind cc: list, or a suppressed-recipient list.

When your press release is emailed, you should be the "from" person, the "reply to" person, and the "bounce to" person. Whether an editor says, "Send me an evaluation copy" or "Take me off your list", you can gather immense amounts of valuable information from the editors' responses to your press releases.

Make sure you see it all.

(4) Ask for references.

Find out which other companies, with products similar to yours, have used the PR firm.

(5) Find out about costs.

Expect to pay about twelve to twenty cents (US) per editor. Find a firm that is up-front about their fee structure, and has no hidden charges.

(6) Be aware of Lost Opportunity Costs.

The number of computer editors who should be receiving your press release will vary depending on the type of product (consumer versus business, professional versus home, Windows versus a platform with a smaller installed base).

You don't want to increase your press release distribution numbers by sending, say, a press release about a telecommunications product to the game-player magazines.

For a typical Windows utility, you should be reaching a thousand well-targeted computer editors.

DP Directory subscribes to more than 145 US computer magazines, and we capture the editors' contact information directly from the mastheads. But that's just the beginning. We use industry directories, and spend hours searching the Internet for computer editors worldwide. And when you've been in the PR business as long as we have (since 1984), computer editors come to you and ask to be added to your list.

There are some "tired" press lists being offered on the Internet. Buying a press list that was compiled weeks or months earlier is a real mistake. It's going to have an unacceptably large undeliverable rate, and it's not going to contain the newest magazines or latest editorial appointments.

 

(7) Make sure you're targeting your vertical markets.

If you're promoting an educational software package, choose a PR firm that has a good education editor list, too.

If you're promoting an office product, make sure you're sending your press release to the business editors, including vertical lists such as banking and insurance.

Find a PR firm that will include all of the relevant vertical markets, while keeping the price moderate.

(8) Find a PR firm that is willing to answer your questions.

There's a certain cookie-cutter aspect to the sending of your press releases. But all of the other important tasks - the preparation and setup and targeting and testing - have to be performed individually.

Find a company that answers your phone calls or emails to your satisfaction, and make them a partner in your ongoing promotional efforts.

There are a lot of differences between today's emailed press releases and the traditional (postal-mail) press releases of the 1990's. Find a PR firm that has a wealth of information about writing and sending press releases on their web site.

(9) Find a PR firm that will read your press release - one that gives its customers feedback before they send press releases to the editors.

An experienced PR person who is interested in building a long-term relationship with you will be happy to give your press release a reasonability check. They can find simple things that you might overlook - things that could make the difference between getting ink or getting trashed.

Example - Does your press release say that your software costs $49 or $49(US)? Your press release should be going to editors in a number of countries that have dollar-denominated currencies (United States, Canada, Australia, New Zealand, Singapore). Your chances of getting your press release printed are higher if you avoid confusing the editors.

Example - If your press release doesn't say what platform your software requires, will the editors take the time to ask you about it, or will they select a press release that requires less follow-up work? If you're marketing a software package for other software developers, they'll understand the term "32-bit Windows". But if you're marketing a program to end-users, they won't know what it means. You should be saying "Windows 95/98/Me/NT4/2000".

Example - Are you saying "Evaluation Copy Available on Request" at the bottom of the press release, after the ###'s? You should be making every friendly gesture imaginable to the editors who are reading your press release.

(April 22, 1996) -- Netscape Communications Corporation (NASDAQ: NSCP) today announced that the University of Michigan, AT&T, Banyan, IBM, Lotus, Novell and more than 40 other companies support the Lightweight Directory Access Protocol (LDAP, RFC 1777) as a proposed open standard for directory services on the Internet. LDAP is a protocol for accessing online directory services over the TCP/IP network protocol, and can be used to access standalone LDAP directory services or directory services supporting the X.500 standard. It provides a standard way for Internet clients, applications and Web servers to access directory listings of thousands of Internet users.

Netscape will deliver this technology to corporate customers in a new product, Netscape Directory Server, an open, scalable server software for running an enterprise-wide directory that contains listings of people and resources. Based on technology pioneered at the University of Michigan, Netscape Directory Server makes it simple for corporate users to quickly and easily create and query directories of people and information stored on corporate Intranets and the Internet. With Netscape Directory Server, vital corporate information such as user names, electronic mail addresses, public key certificates and contact information can be organized and published in a searchable, structured, scalable directory. This information can be replicated automatically throughout the enterprise or between enterprises.

Netscape also plans to support LDAP in future versions of Netscape SuiteSpot and Netscape Navigator client software. LDAP-compliant address book and electronic mail applications in Netscape Navigator will provide users easy access to Netscape Directory Server and other LDAP-compliant directory servers. Netscape's products will also include support for attributes in the Versit Consortium's "vCard" specification for electronic business cards. VCards make it easy for individuals or corporations to exchange contact and directory information in a universally-recognized format.

Under the LDAP protocol, corporate directory entries are arranged in a hierarchical structure that reflects geographic and organizational boundaries so that companies can map their corporate directory to their actual business processes. Entries representing countries appear at the top of the tree and below them are entries for states or national organizations. Below them appear entries representing departments, people, printers and documents, making it easy to find the information a corporate user needs to conduct business over a network. connectivity to X.500 enables customers to utilize Netscape Directory Server or other LDAP based software in conjunction with existing directory services.

"The lack of a global directory interface has significantly impeded the deployment of enterprise applications and has caused significant pain to the end-user community for far too long," said Larry Gauthier, chairman of the Network Applications Consortium Strategic Interest Group on Directories. NAC's members include Compaq Computer, Continental Grain Co., MCA, Pacific Gas & Electric and the World Bank. "This announcement by Netscape and other industry leaders is a significant step forward in solving the directory chaos that exists today," added Gauthier. NAC, a strategic end-user organization dedicated to improving the interoperability of mission-critical applications in a heterogeneous inter-enterprise computing environment, published a position paper on directory services supporting LDAP in July 1995 and is focused on influencing vendors to move in this direction.

The LDAP technology Netscape adopted was derived from software and algorithms developed and tested over many years under rigorous work loads at the University of Michigan, where it was servicing more than 5 million queries per week of more than 100,000 university listings. Continuing on Netscape's tradition of drawing on the work of the best and brightest university talent, Netscape and the University of Michigan will continue to work together to extend the LDAP technology even further. A number of the key university researchers will join Netscape to implement this close relationship. Other companies are invited to work with the university as Netscape is doing, to facilitate the further implementation and deployment of LDAP.

Netscape Directory Server is scheduled to be available on Microsoft Windows NT and major UNIX platforms by the third quarter of 1996. The product is expected to be available as part of future versions of Netscape SuiteSpot. Individual product pricing is expected to be $995; final pricing will be announced at the time of product release.

TRIPE Report Reveals That News Releases Are the Secret to IP Success

A recent study by the powerful Testing and Research for IP Educators (TRIPE) consortium has determined that news releases can be a cheap, effective means of getting the media to pay attention to you -- and spreading the word about your IP business.

"I sent out a release to local media announcing the translation of one of my books into Korean and Chinese," says Shel Horowitz, author of such books as Marketing Without Megabucks and Penny-Pinching Hedonist, who bravely underwent painful electric shock treatment for the TRIPE study. "I intended this to be background, so they'd call me when they needed a marketing expert. Lo and behold, the largest regional paper in my territory did a Full Story with picture!"

A well-written news release can generate news coverage for months to come, say the study results. And it doesn't matter if you're Bill Gates or Joe IP. The study's author, eminent TRIPE researcher Linda Formichelli, conducted intensive research on thousands of IPs and members of the media to come up with a winning formula for creating a successful news release.

Get in Shape

A standard format is key to news release success, reports the TRIPE study. Print the release on company letterhead to clearly identify your business. In the upper left-hand corner, write "For Immediate Release," or, if the release has time value, "Hold Until XX/XX/XX" or "For Release During Lent."

Flush right on the same line, tell the editors who they can contact for further information: "Contact: M. Bulgakov, 800-123-4567." (The TRIPE study suggests that pretentious American IPs announce their pretentiousness by separating their numbers with periods instead of hyphens: 800.123.4567.)

TRIPE suggests that your press release should...

  • feature an easy-to-read typeface such as Times in 12 points

     
  • keep the news release to one page if possible -- and if it's not possible, end each running page with "--more--"

     
  • provide a short paragraph about your company and more detailed contact information at the end

     
  • conclude with "###" centered at the bottom of the page (TRIPE researchers theorize that this is Sanskrit for "Run my news release right now or suffer the consequences")

Reel Them In

Editors and producers face looming stacks of news releases every day. How can you make yours stand out? Don't resort to using colored paper or folding your release into an origami duck, warns the TRIPE report. Such attention-getting gimmicks are the mark of an amateur.

The headline is your first and sometimes only chance to hook the editor or producer and keep him or her reading. Make it newsy, clear, and interesting. For example, Formichelli shamelessly brags that "a headline on a news release I recently wrote generated a 15% response rate for the client -- which is really good. It was -- are you ready for this? -- 'Already a Bouquet of Light in the Homes of Hollywood Luminaries, the Candle Box Debuts at the California Gift Show.'"

Turn It Upside-Down

The body of the press release should take the format of an inverted pyramid: critical information goes in the first paragraph, information of next highest importance in the second paragraph, and so on. "Sometimes an editor will print a news release as is, and the inverted pyramid format allows him or her to slice off the last paragraphs if necessary without sacrificing important information," says Formichelli.

Do Target Practice

It takes some effort, but slanting your release for each market you target can pay off in more coverage, the TRIPE study reveals. "The releases that seem to get the most attention are the ones that I write as if they are news articles specifically written with the targeted publication in mind," says "freelance voice guy" Mike Weiner, who submitted to humiliating psychological testing for the purposes of the study. "I research the publication, make sure the readership is appropriate, and then tailor the release to that publication."

Cut the Hype

You can't fool members of the media, says TRIPE -- so don't try to pass off a self-serving ad as news. When an editor or producer reads such a release, he or she sees that you're just trying to get a free ad and tosses it. Examples of real news items are:

  • an event
  • a new marketing campaign
  • community service
  • a contest
  • a move to a new location
  • the results of a study or survey
  • a new product or service -- but only if it's truly new and unique

Ready, Aim...

"You don't need to spend a fortune to have someone distribute your release," says Formichelli. "You can compile your own list for nothing -- just be sure to make it targeted. If you want to get coverage for your Web design business, don't send a release to Country Clutter Fortnightly."

Don't have the faintest idea what media target your audience? The TRIPE report suggests browsing through Bacon's Magazine & Newspaper Directory or Bacon's Publicity Checker at your local library. Or pick up a copy of a magazine directory such as Writer's Market 2000 , which is available at most bookstores for under $30.

According to TRIPE, the thrifty IP can also take advantage of such online magazine directories as ThatsNewsToMe and TradeWriter. For other news media, check out the list of media directories at Search Engine Guide.

Just be sure to confirm the editor's or producer's name, warns TRIPE second banana Kathie Stamps of Stamps Communications. "It's important to call and get the name -- proper spelling, please -- of the appropriate party," she says. "Sure, you can always send a release to a title, but isn't it better PR to send it to a person? A personal note sure wouldn't hurt, either."

Where should you send your news release, now that it is completed? The first thing you need to do is identify media outlets most likely to cover your story, and to build a media list.

Building a Media List
Building a targeted media list is an invaluable tool for most businesses. The best way to build your list is to carefully watch track media publications and shows, and to identify reporters and producers who would be interested in your story. Call the media outlets to get the phone and fax number, and mailing address of the journalists you would like to send your release to.

Tip: Using a contact management software program such as ACT! or Maximizer for this purpose can help you build and maintain relationships with the media.

There are several sources online that will help you build your media list; however, keep in mind that not all of these sources will have up-to-date media information.

Distributing your News Release: the Wires
Newswires distribute your press release directly to editors, other media outlets like Routers and they also publish the press releases on their website. Many journalists rely on newswire sites for information and story ideas. Wires are often used by larger companies and non-profit organizations. They have the advantage of immediately reaching a broad range of media outlets across the country. The cost is usually $275 - $600 to send a single release, with pricing based on the number of words in your release (a minimum word count will usually apply.)

Distributing your News Release: Mail, Fax, or Email
You can send the news release directly to the media yourself, using the mail, fax, or email. When in doubt about the best option, ask the journalists you will be sending your release to. This can have the advantage of creating a more personal connection with the people you send the release to. It can also be a more cost-effective option if you are targeting a small list of journalists.

Building a list of media contacts
Newswires offer a fast way to send your press release to a large number of editors. However, you can also build your own list of media contacts using any of a number of media databases. Most charge either a monthly, annual or per use subscription fee. Here are a few places you can use to get started.

 

Bowdens: this media directory offers per use and subscriptions to their online database and is based in Canada.
CCN Matthews: another Canadian media directory that offers both a subscription and a distribution service. They also have their own wire service, which is listed above.
Media Post: you can still lookup media contacts for free using this database, but the categories we tested had a lot of defunct listings.
Online directories: check online directories if you want to build a small, targeted list. The CCN Matthews website also has a list of links to Canadian media websites in the Media Folder section of their website.

Timing your distribution
It is best to send your news release early in the day and you will have a better chance of getting your story noticed if your release is not sent on a busy news day. For example, sending a news release out as a major strike or natural disaster was taking place would not be good timing. Monday and Tuesdays are usually busy news days and by Friday most assignments have been handed out as journalists get ready for the weekend.

One of the best ways to get your news release noticed is to "piggyback" or "tag" your story on a popular current topic. Some example of themes that tend to come up on a regular basis include obesity in children and literacy. In Ontario in 2004 the topic of dog bites became very "hot" with stories and letters to the editor being published on almost a daily basis. Many dog trainers got publicity for their businesses that they would not normally have received as journalists were looking for experts to comment on proposed legislation. These topics are often very time sensative.

    So many Internet Marketing campaigns are often one-directional activities. This is not by design, but it seems to be the result in far too many cases.

    Think about it… how often do you find yourself reviewing your company’s programs with the following statements being made:

    • We send out 10,000 emails a month and expect people will visit our website and purchase our products.
    • We spend between $5,000 and $8,000 per month on Pay-Per-Click advertising and believe [hope] we are using the keywords that make website visitors buy from us.
    • We sent out press releases through our PR Agency and only receive small synopsis in a local newspaper or industry magazine.
    • We made design changes to the look and feel of our website so that people will like what they see and contact us.
    • We invested in optimization of our web pages but the high rankings in search engines never came.

    Of course there are numerous other printed- marketing activities that take place within most companies e.g., direct mail, sales brochures, trade show literature, and catalogs. The goal here is to make you and your Internet Marketing team look deep into the selling process and find ways to increase the value of each marketing campaign.

    What Does Closed-Loop Mean?

    Now that your interest is piqued… let’s take a look at what closed-loop Internet Marketing is all about. It is a simple concept; however, it isn’t followed often enough. The process begins with the end results in mind. Notice the keyword is results… plural! This means the Marketing Team should never start a project with ONE Goal in mind. Beginning a project by focusing on the primary result one wants to obtain puts a specific perspective on the process to be developed. Making it mandatory for the team to come up with at least three or four secondary benefits is the behavior and approach needed for very successful Internet Marketing projects.

    When asked about the goal of Internet Marketing campaigns, most marketing personnel and senior executives quickly state… REVENUE! Well, that is very shortsighted to say the least. Creating a profitable revenue stream is of significant importance. But, there are other areas one can [and should] focus on that will provide sustaining, long-term benefits that may far outweigh the value of an immediate sale from one’s website.

    Two Sample Internet Transactions:

    The following examples show two different approaches to Internet Marketing. They both drive revenue, however, one goes a bit further. As you read, try to project how your company handled its latest Internet-based campaign.

    Company “A” sends out an email requesting that the recipient go to their website and view products being sold. The result is that people either do it or they don’t. Let’s continue and say the person types in the company’s URL and lands on the website’s homepage, searches, finds a product and makes the purchase. The company processes the credit card transaction and ships the product quickly. The product is received and satisfactorily meets the website visitor’s needs. And so goes many [if not most] Internet transactions. What a wasted opportunity!

    Company “B” sends out an email with a message that is clearly focused on the recipient. It includes a motivating call-to-action statement that has a “timely” message. Further, the email includes links within the body text that contain a tracking code.

    The reader of the email likes what is being offered and clicks on the link that has the most interest. The person lands on a page within the company’s website showing exactly the product being offered. The visitor decides to make the purchase and enters the product into the shopping cart.

    Prior to finalizing the purchase, the visitor is offered related products and services that others have purchased at the same time. In addition, there is a special discount if the order reaches a specified dollar value. The visitor likes the recommendations and adds one more product to the cart. The credit card information is entered and the online transaction is completed.

    The company uses an auto-respond feature that sends out a ‘Thank You” email and confirms the receipt of the order. It also contains a Special Purchase Code that gives the purchaser a discount on their next purchase if it is made within the next 60-days.

    It does not stop there… the company asks the purchaser to sign up for their Newsletter that will show special offers throughout the year. Finally, there is a “Tell a Friend” statement asking the purchaser to give a special friend, business contact, or relative the advantage of buying from the company. Of course, there is a special coupon code that can be used to motivate the friend to make an immediate purchase.

    The end result is that REVENUE was generated. However, the amount of the sale was larger and the purchaser opted-in to receive ongoing Newsletter. There is also a good possibility that the purchaser will return within a month to redeem the coupon and the friend will potentially make a purchase.

    Behind the scenes, the Internet Marketing team can see the impact of the email offer by quantifying the tracking codes used to land on specific product pages within the website. They can also see the dollar value associated with the recommended add-on order and the impact of the call-to-action statement. The purchaser’s coupon being used in a subsequent sale can be recorded and quantified as well as the coupon sent to the friend.

    Needless to say… Company “B” is much better off than Company “A”. Now and in the future!

    Pay-Per-Click “Loops”…

    Make sure your PPC Marketing expert selects the “Best of Breed” terms to be included in your campaign. It is not about adding thousands of keywords and hoping that once in awhile someone will convert! Of course, using an adequate number of keywords that can be measured using conversion rate tools is a must.

    In addition, think about how most PPC generated transactions end. In a sale… right? Yes, but that isn’t where they should end. Go back and read the process used in the email example. It applies here also. You can often add 25-35% more revenue to one sale by using these closed-loop Internet marketing techniques.

    Press Release “Loops”…

    Traditional advertising and press release agencies often do not utilize the Internet as an integral part of their distribution process. This limits the opportunity to deliver the closed-loop process.

    There are numerous web-based press release distribution organizations; some will even assist with copywriting. The important thing to keep in mind when using these services is to use search engine optimization techniques when writing the unique Internet Press Release. The search engine spiders will find the appropriately written press release, index it and potentially give it a page ranking.

    Think about all those people who want to “check out” your company prior to doing business with you. What if they could search on your company name and find positive statements contained within press releases? They could also find the link to your website within the press release copy and go directly to the site. If you include a link to an internal landing page that contains the product or service you are promoting… it will help drive traffic AND it counts as an incoming link! Just follow the same processes used in the email example once the visitor lands on the website!

    Closed-Loop Internet Marketing Bottom-Line Facts:

    The message here is to think about Internet Marketing programs from a multi-faceted viewpoint. There are tremendous opportunities to obtain much more than just immediate REVENUE! It is very important to build in the ability for a prospective customer to buy more per visit [through cross and up-selling], come back often [using retention methods], and send friends to your website [via viral marketing].

    If you don’t have the internal marketing staff that thinks in the manner described above… find an Internet Marketing partner who will assist your team. It is too important to leave this opportunity underdeveloped and to chance!

    Press releases are a powerful tool for any online or offline business.

    Your blog, website, or any online business promotional efforts, can be multiplied many times over by being the topic of a news story.

    A mention of you and your online business, in any of the online or offline media, will get your business story out to a wider audience than almost any other method.

    By being the subject of a news story, your site and business receive an implicit endorsement, that no amount of money spent on advertising can match.

    People tend to put more confidence in a business that is covered in a news article than they do in any paid advertisement. It should be part of your business promotional strategy to get your message into the various news media.

    The established road into the news media is by way of a press release.

    Your first step is to find a newsworthy story. In the news business, that is referred to as the “angle”. To find a news angle, many people suggest thinking like a journalist.

    An even better idea is to think like an editor. The publication editor will always want to know the news value of the story and its angle. It’s up to you to provide it for them. Send them a press release.

    There are many story ideas lurking in your business right now. You may have a new product that serves a specific need. Your website may have been redesigned in a new and unique way. Your staff may have had additions. Your site may have some special holiday or seasonal value. You may be involved in some unusual promotional or charitable events. There is also the good old human interest story.

    A press release is like a cover letter and resume for your news story. It is written like a news story. In fact, some publications will print your press release without alteration, but don’t count on it. The best idea is to write it like a journalist would and review it through the eyes of the editor.

    To start writing your press release, you must include some basic and necessary components.

    Start with a headline. The headline is probably the single most important part of the release. It is the grabber. It makes or loses the sale. A busy editor, inundated with hundreds of press releases may not read beyond the headline.

    Make it count. Words like You, New, How, Now, are especially important and will help grab the editor’s attention.

    Like the headline in a good sales letter, newsletter, or your website, spend the majority of your time on the headline. It can make or break whether your story gets included or not. A headline should convey the idea of the article and compel the editor to read on to the lead paragraph.

    The lead paragraph will answer the classic five who, what, where, when, and why questions. It should flow smoothly from the idea conveyed in the headline.

    The lead, as it’s called, should answer directly to the headline. If it doesn’t either the lead, the headline, or both should be rewritten to send the same message.

    The main body of your press release appears in the middle, following the lead paragraph. Here is where you provide the supporting news story for your lead and headline. Be sure to include some quotes from the key people involved in the story.

    Write the press release in the inverted pyramid style. By that, I mean place the most important information first, and the less important supporting information second. Use short sentences with action verbs.

    Be sure your press release reads as a news story and not as a sales letter. If it sounds like sales literature, it will likely end up in the trash or delete file.

    At the end of the release, be certain to have your name, phone number where you are available, and a link to your blog or website.

    Your contact information should also appear at the top of the release, below the headline. There you would include your company name, your contact name, address, phone and fax numbers, e-mail address, and your website URL.

    Make yourself readily available and easily reached at all times to the media. If your release is not used, but you are easily contacted, you may still find yourself asked about other news stories in your industry.

    If at all possible, get to know as many editors and journalists, who cover your industry and business in general. That familiarity, can get your press release noticed, and your name remembered, for other industry news stories.

    Send your press release to the online and traditional offline media who cover news stories in your industry. If the news angle you have chosen has wider appeal, feel free to send it to other media who cover that news area.

    Avoid sending your release to media who would have no interest in your story. Don’t ever be seen as a spammer. Your future releases will invariably wind up deleted if you are regarded that way.

    While everyone imagines their story in the big city daily newspapers, they are only the tip of the iceberg. For them, your best bet is the business or technology section.

    Don’t overlook small weekly newspapers. Their distribution is local and their readers are your potential customers. Often pressed for time and staff resources, they may publish your release as is.

    Many trade and industry publications, both online and offline, publish news stories in your industry. These highly specialized and targeted publications are read by those people in your business area.

    These magazines are very interested in receiving interesting and informative stories about your business, personnel, and products. They usually have special sections pertaining to those matters, and need stories to fill them.
